How to choose your business's first IT improvement

· By Innovations Cloud

Buying a new system is not always the best starting point. The underlying problem may be inconsistent data, unsuitable licensing or unclear operating responsibilities. Before choosing a solution, identify one problem whose improvement you can measure.

1. Describe the business problem

Write a specific sentence: “Our weekly report requires manually combining three spreadsheets.” Identify the process owner, how often the task occurs and what happens when it is late. Avoid deciding that “we need AI” before understanding the cause.

2. Match the problem to an appropriate route

  • Inconsistent numbers: review source data and metric definitions through data analytics.
  • Repetitive work: choose a bounded AI use case with explicit human review of outputs.
  • Overlapping licences or unclear renewals: inventory active users, actual usage and vendor terms before considering software licensing.
  • Unsuitable hosting: document capacity, required location and backup/recovery expectations before comparing cloud hosting. Ask for evidence of location when it is a requirement.
  • Unowned operational issues: define support scope, escalation and responsibilities through managed IT services.
  • Conflicting priorities: develop a sequence through IT strategy consulting rather than starting several projects together.

3. Test a small, defined scope

Start with one team or process. Agree what is included, what is excluded, who accepts the results and which data may be used. Set a testable acceptance criterion, such as reducing report preparation steps without losing accuracy.

Use representative examples, not just a polished demonstration. Do not share sensitive data that the evaluation does not require.

4. Budget for operation as well as purchase

Consider licensing, implementation, data maintenance, training and support. Establish who owns the accounts and data, what the handover includes and what needs approval before expansion.

Practical next step: Prepare a one-page brief covering the problem, its owner, its current impact and the desired outcome. Contact Innovations Cloud to discuss the right starting point.
